Project Manager access role

Default permissions of the Project Manager

Written by Justyna Kawalec

This feature is currently being rolled out across Float. If you don’t see it in your account yet, it will be available to your team in the coming weeks - stay tuned! For more details, see the Access roles FAQ.

Until then, see the Access rights article for how existing permission levels work.

The default Project Manager access role is built for creating projects, estimating them, and monitoring their progress. It’s meant for the people who own project delivery, such as producers, delivery leads, or account managers.

What Project Managers can do

The default Project Manager access role allows you to:

  • See the right people
Project Managers see themselves, the people and departments they manage, everyone on projects they own or can edit, and people on projects they’re assigned to. They can open the People page and edit their own account details.

  • Create and see projects
Project Managers can create projects. They see projects they own, projects open to all project managers, projects that people they manage or people in departments they can view are on, and non-draft projects whose team they’re on.

  • Edit projects
Project Managers edit projects they own, projects whose team they’re on, and projects open to all project managers. They delete only projects they own.

  • Manage project work
On projects they can see, Project Managers create, edit, and delete phases and milestones, and create and edit tasks. They manage estimates and can add tasks to a locked task list when scheduling or logging time.

  • Manage expenses
Project Managers create, edit, and delete expenses on projects they can edit.

  • Use project templates
Project Managers create project templates and edit or delete the templates they created.

  • View budgets and rates.
When the finance switch is on, Project Managers see financial budgets on projects they own or are on the team of. They can view bill rates and rate cards in the project side panel, but not cost rates.

  • Schedule people.
Project Managers create allocations for any person they can see. They edit, delete, and set the status of their own allocations and allocations on projects they own or are on the team of.

  • Manage time off
When time off approvals are off, Project Managers create and edit time off for themselves and their direct reports. When it’s on, they request their own time off, edit their own requests until they’re approved, approve time off for their direct reports, and create, edit, and delete time off for their direct reports.

  • Track time
Project Managers log time for themselves and for anyone on their projects. They see, edit, and delete logged time that is their own or on their projects, and can override the time tracking lock period.

  • Set statuses and use views
Project Managers set schedule statuses for themselves and their direct reports. They create personal views and shared company views, and can edit and delete only the views they created.

  • Use reports and pages
Project Managers can open Schedule, Log my time, Log team, Projects and People pages, and project reports.

What Project Managers can’t do

By default, a Project Manager can’t:

  • Create, edit, or delete people.

  • Delete projects they didn’t create, or edit and delete project templates other people created.

  • Edit or delete allocations, or see, edit, or delete logged time, outside their own and their projects’.

  • See cost rates, edit rates, or manage rate cards.

  • Turn on automatic time logging.

  • See people reports, finance reports, Dashboard, or Data studio.

  • Open any admin page or Company settings.

  • Manage or assign access roles, add additional permissions, or assign direct reports on the Manages tab.

Assign the Project Manager role

To assign access roles, you need the Assign access roles and overrides permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

Assign the Project Manager role to a person

To assign the Project Manager access role to a person:

  1. Go to the People page.

  2. Select the person and open the Access tab on their profile.

  3. Select Project Manager from the access role dropdown.

  4. Review the permissions and adjust them if needed.

  5. Click Update person. If you’re inviting someone new, click Update & invite person.

To assign the Project Manager access role to several people at once:

  1. Select them on the People page

  2. Click Edit

  3. Under Field, choose Access role

  4. Select Resource Manager

  5. Save with Update

Assign the Project Manager role to a guest

To assign the Project Manager access role to a guest:

  1. Go to Company settings > Admin > Guests.

  2. Click the Invite button.

  3. Enter their name and email address.

  4. Select Project Manager from the access role dropdown.

  5. Review permissions and adjust them as needed.

  6. Save with Invite.

📝Note: Permissions that depend on a person record, such as Self or Managed, don’t apply to guests. Some Project Manager permissions, like seeing and approving time off for the people they manage, won’t take effect for a guest.

Assign individual permission overrides

On a Starter plan, you can’t edit the default Project Manager role, but you can still add permissions to individual people. To do that, you need the Assign access roles and overrides permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

To customize permissions of team members with the Project Manager access role:

  1. Go to the People page.

  2. Select the person you want to update and open the Access tab of their profile.

  3. Add additional permissions as needed.

  4. Save with Update person.

💡Here's a tip: You can use additional permissions for exceptions, such as one Project Manager who also needs to view rates. If several Project Managers need the same extras, consider a custom access role instead of editing each person. Custom roles are available on Pro and Enterprise plans.

Customize the default Project Manager role (Pro and Enterprise)

On Pro and Enterprise plans, you can add and remove permissions on the Project Manager role. Your changes apply to everyone assigned to it. To do that, you need the Configure access roles permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

  1. Go to Company settings > Access rights.

  2. Select Project Manager.

  3. Add or remove permissions as needed.

  4. Click Update access role.

An edited default role shows as Default (updated). To undo your changes, open the role’s action menu and select Reset defaults.
