Member access role

Default permissions of the Member

Written by Justyna Kawalec

This feature is currently being rolled out across Float. If you don’t see it in your account yet, it will be available to your team in the coming weeks - stay tuned! For more details, see the Access roles FAQ.

Until then, see the Access rights article for how existing permission levels work.

The default Member access role is built for doing your own work without seeing restricted data. It’s meant for the people who are scheduled on projects and log their own time, such as designers, developers, or consultants.

What Members can do

The default Member access role allows you to:

  • See the right people
Members see themselves, their direct reports (if any), and the people on projects they own. They can edit their own account details.

  • See the right projects
Members see projects they own, projects that people they manage are on, and non-draft projects whose team they’re on. They can see their own draft projects.

  • Update allocation status
Members can set the status of allocations assigned to them, so they can mark their own work as completed.

  • Manage time off
When time off approvals are off, Members create their own time off directly. When it’s on, they request their own time off and edit their requests. They can also edit and delete their own time off, and manage time off for their direct reports.

  • Track time
Members log time for themselves on the Log my time page for projects they own or are on. They can see, edit, and delete only their own logged time.

  • Set statuses and use personal views
Members set schedule statuses for themselves and their direct reports, and create, edit, and delete their own personal views.

  • Use reports and pages
Members can open Schedule and the time logging pages. They can also open people and project reports for the people and projects they can see.

What Members can’t do

By default, a Member can’t:

  • See draft projects they didn’t create.

  • Create or edit projects, tasks, phases, milestones, or allocations. They can only set the status of their own allocations.

  • Log time for anyone else, or see, edit, or delete anyone else’s logged time.

  • Override the time tracking lock period.

  • Create shared company views.

  • Open the People page, the Projects page, or any Dashboard.

  • See any rate, currency budget, or finance information.

  • Manage or assign access roles, add additional permissions, or assign direct reports on the Manages tab.

📝Note: Hours budgets are visible on any project a Member can see, because no permission controls them.

Assign the Member role

To assign access roles, you need the Assign access roles and overrides permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

Assign the Member role to a person

To assign the Member access role to a person:

  1. Go to the People page.

  2. Select the person and open the Access tab on their profile.

  3. Select Member from the access role dropdown.

  4. Review the permissions and adjust them if needed.

  5. Click Update person. If you’re inviting someone new, click Update & invite person.

To assign the Member access role to several people at once:

  1. Select them on the People page

  2. Click Edit

  3. Under Field, choose Access role

  4. Select Member

  5. Save with Update

Assign the Member role to a guest

To assign the Member access role to a guest:

  1. Go to Company settings > Admin > Guests.

  2. Click the Invite button.

  3. Enter their name and email address.

  4. Select Member from the access role dropdown.

  5. Review permissions and adjust them as needed.

  6. Save with Invite.

📝Note: Permissions that depend on a person record, such as Self or Managed, don’t apply to guests. Because most Member permissions work this way, a guest with the Member role has much less access than a person with the same role.

Assign individual permission overrides

On a Starter plan, you can’t edit the default Member role, but you can still add permissions to individual people. To do that, you need the Assign access roles and overrides permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

To customize permissions of team members with the Member access role:

  1. Go to the People page.

  2. Select the person you want to update and open the Access tab of their profile.

  3. Add additional permissions as needed.

  4. Save with Update person.

💡 Here’s a tip: You can use additional permissions for exceptions, such as one Member who also needs to open the People page. If several Members need the same extras, consider a custom access role instead of editing each person. Custom roles are available on Pro and Enterprise plans.

Customize the default Member role (Pro and Enterprise)

On Pro and Enterprise plans, you can add and remove permissions on the Member role. Your changes apply to everyone assigned to it. To do that, you need the Configure access roles permission. Account Owners and users with the default Admin access role have it by default, and they can grant it to others as needed.

  1. Go to Company settings > Access rights.

  2. Select Member.

  3. Add or remove permissions as needed.

  4. Click Update access role.

An edited default role shows as Default (updated). To undo your changes, open the role’s action menu and select Reset defaults.
