Split your work into pieces

Tasks are individual pieces of work that need to be completed by your team. They are optional and can be created at both the project and phase levels. Setting up tasks as specific pieces of work within a project or phase helps group allocations, making tracking and reporting easier.

The Tasks section within the project settings houses all of your project tasks. It does not include phase-specific tasks, which are listed under their corresponding phases.

You can add new tasks to this list before assigning them to your team or when allocating time on the Schedule. Any task assigned to a team member on the Schedule is automatically added to this list within the project menu.

Similarly, phase tasks are listed under the Tasks section of each project phase. This list does not include project-specific tasks.

You can add new tasks to this list before assigning them to your team or when allocating time on the Schedule. Any phase task assigned to a team member on the Schedule is automatically added to this list within the phase menu.

Setting tasks as billable and non-billable

By default, all tasks on the billable project and project phases are set as billable. You can choose to set individual tasks to non-billable.

Non-billable tasks on a billable project or project phases are not included in the project budget, and allocations scheduled for these tasks do not utilize the project budget. Non-billable allocations on a billable project can be tracked in reports to monitor internal spending.

To set an individual task as non-billable, click on the action menu next to the task name and select Set as non-billable.

Non-billable tasks are displayed with a greyed-out Non-billable label. To set them to billable, follow the same steps: click on the action menu and select Set as billable.

Merging tasks

You can select two or more tasks and merge them. When tasks are merged, all instances of the tasks, including previously scheduled and logged time, will update to the new task name. It's important to note that this action is irreversible—you cannot split previously merged tasks.

To remove a task, select the task name and click Delete.

If you try to remove a task that has been scheduled or in use, Float will ask for confirmation to delete it. Click on the bin icon to confirm the action. This will permanently delete all instances of that task from Float (including all scheduled and logged time for that task). This action is irreversible. If this is not your intention, consider reassigning the allocations from that task before deleting it or using the merge option instead.

The View using filter option automatically applies Task is, Project is (and Phase is if applicable) filters so you can review your team's work on these on the Schedule, Project plan and the Report pages.

​Locking the task list

The Tasks section on the project level has the Only Project Managers can add to this list setting that allows locking the task list. Locking the project task list applies to all the project's phases.

The task list is locked by default for all the new projects, but it can be unlocked whenever needed. Keeping the task list locked ensures your team only schedules and logs tasks from the approved list. When allocating time on the Schedule, they will see the padlock icon next to the Task field, forcing them to choose one of the existing tasks.

If Only Project Managers can add to this list is enabled, Project Managers who are contributors to the project (but not the Project Owners) can add new tasks in the project settings. When allocating time on the Schedule, they will still need to select one of the existing tasks.

When allocating time at Float, it is obligatory to assign it to a specific project. Optionally, you can choose to allocate to a specific project task, phase, or phase task.

Project allocations without any specific task assigned on the Schedule are grouped under No task allocation within the Tasks section of the project settings.

No task allocation details can be reviewed on the project report. When needed, you can switch these allocations to a named task by selecting Convert to named task from the task action menu within project settings.

If no tasks have been previously created in the project settings, they can be added directly within an allocation menu by clicking Add task and typing the task name. Tasks added that way are automatically added to the Tasks section within the project menu.

If the task list has already been added in the project settings, when allocating time, you can choose to assign it to one of the existing tasks. In the Task field, they are grouped by Billable and Non-billable.

If the task list is not locked (there is no padlock icon next to the Task field), instead of selecting one of the existing tasks, users with project edit rights can add a new task on the allocation menu directly by typing its name. Tasks added that are automatically added to the Tasks section within the project menu.

Allocate time to the phase

If the project you are allocating time to has phases, you can allocate time to one of them. A phase can be selected underneath the project's name on the allocation menu.

If No phase is selected, time will be allocated to a project directly. Optionally it can be assigned to a specific project task. If the project task list is locked, choosing a task is obligatory.

If the phase you are allocating time to has no tasks previously added in the phase settings, you can add them on the allocation menu directly.

If the phase you are allocating time to has tasks, you can choose to assign the allocation to a specific phase task. If the task list is locked, choosing the task is obligatory.

Additional notes

  • Currently, there are no limits on the number of tasks allowed on a project or a phase—you can have an unlimited number of tasks in each project.

  • Copying tasks between projects and phases and between specific phases within the same project is currently not supported.

  • Bulk deletion of tasks with associated allocations is currently not available. Each task needs to be removed individually.
