The schedule view is where you’ll allocate and update project assignments. Here’s an example of an account with team members and tasks already assigned.

Let’s start by adding a team member. Don’t worry about inviting them at this stage, you can do that later when you’re ready. 

Add their basic info. Anything you include here can be used to filter the schedule or generate a custom report.

If Sarah works different hours than the rest of your team, change her capacity by selecting Part-time. Sarah is a Contractor, so I’ll check this to split out her hours in my Reports.

I like to sort this view by Departments. 

Holding shift and multi-selecting allows me to make bulk changes easy.

Now, let’s add a project to schedule. Assign a Client if they have one. Pick a color so you can identify it on the schedule. This project has a special job code so let’s add that as a tag.

Tentative projects appear semi-transparent in the schedule and can be excluded from the reports. This is a billable project so I’ll leave that checked. 

Here we can also start assigning team members. Milestones show up in the schedule to remind you when something is due like an important launch. You have the option here to add some tasks that you’ll end up assigning to your team.

Alright, time to schedule!

Now, say I want to be able to see more of my team. In the bottom right there are options to zoom out, and view by day, week or month. 

Click and drag anywhere in the schedule view to assign a task. Here, we’re assigning Sarah the Website Redesign project for the week. 8 hours across 5 days. 40 hours total. Here we can pick from the task names we created earlier or create a new one. Check ‘Repeat’ if this is an ongoing task.

A red shade will indicate when a team member is working overtime.

Tasks can easily be extended, split, or copied across Float. Holding shift you can copy a task or move many at once.

Right-click reveals tools to split, insert or replace tasks.

Filter by those tags you added earlier to customize your view.

Once the schedule is up to date, you can email team members their individual hours for the week using Email Notifications.

Reports serve up the numbers. Pick a date range, view billable hours and overall team utilization. Create custom reports by typing or just click on a name below. 

You can change any of the schedule defaults, including your teams working hours and public holidays, from the Accounts Settings.
